When a team member leaves your company—voluntarily or otherwise—they may still retain access to your Hera account. This includes permissions to update data, send messages, manage Associates, and more.
If their access is not disabled, they can:
Log in and make unauthorized changes
Interact with Associates under your brand
View sensitive company or performance information
Delete records or tamper with system settings
To maintain the security of your account, disabling a user immediately after they depart should be standard procedure.
1. Open Company Settings
Click your name in the top right corner of Hera, then select Company Settings from the dropdown.
2. Go to the Users Section
In the sidebar menu, select Users.
3. Locate the User
Scroll through the user list or use the search bar to find the person you'd like to deactivate.
4. Click the Action (...) Button
To the far right of their row, click the three dots to open the action menu.
5. Select "Deactivate User"
From the dropdown options, click Deactivate User.
6. Confirm and Update
You’ll see a warning message. Click Update to confirm. If the user is currently logged in, they will be logged out immediately.
🗑 When Can You Delete a User?
You may only delete users who have never logged in—this means they have not yet changed their default password.
If the user has logged in even once, deletion is no longer available. In these cases, the only option is to deactivate the user to immediately block access and preserve their history.
