How to take Driver Vehicle Photos

Taking daily photos of company vehicles is an important task that helps track the condition of the vehicles and identify any maintenance needs. With Hera, drivers can take daily vehicle photos easily without downloading an app or logging in with a password.

To get started, navigate to the Daily Rostering page within Hera and click on the double text message bubble icon. This will allow sending all drivers (or selected drivers) their unique custom link via text and email. You can also click on "+Photo Log" located below the van assignment to send vehicle photo logs individually.

*Keep in mind, the selected associates must have a vehicle assigned to them.


This will open a pop-up where you can require photos for the drivers to take. The default options are Front of Vehicle, Back of Vehicle, Left Side of Vehicle, Right Side of Vehicle, and Odometer.

Click on the dropdown box to add additional photo requirements or create custom ones.


The driver can then click on the unique custom link in the text or email, which will take them to a secure webpage where they can take and upload photos of their van. The screenshot below shows what the driver will receive. (Example e-mail).

When employees take daily vehicle photos, Hera automatically creates a photo log record that is viewable on the Daily Rostering and vehicle's details page. This log includes the name of the employee who took the photos, with the date and time. This creates a clear record of the vehicle's condition over time, making it easier for managers and employees to track any changes or issues.


By default, drivers will only be able to access their camera and take new pictures for the photo logs. In your Company Settings click on Vehicle Photo Logs on the left. There you can choose whether to allow drivers to access their camera only or camera and library.


One of the main advantages of not requiring a login or password to take photos is that it simplifies the process for the drivers. They can quickly take photos without worrying about logging in or remembering passwords. This saves time and effort and ensures the daily vehicle photo task is completed efficiently.

Another advantage of employees taking daily vehicle photos is that it holds them accountable for the van's condition. Employees taking photos of the vehicle daily are more likely to notice any damage or maintenance needs. This means that issues can be identified and addressed promptly, reducing the amount of vehicle damage over time.
