Creating Counselings Automatically
Daily Roster:
In Daily Roster, Hera will ask you to create a Counseling for an Associate if the Roster Status deems them "Inactive" for the day. For example, "VTO," "Called Out," or "No Show, No Call" are all Inactive statuses because the associate will not be at work today. When these Roster Statuses are chosen, you can create an Associate Issue and Counseling for the associate's absence.
Vehicle Damage:
In the Vehicle List tab, select Add Vehicle Damage from the action menu.
Add Vehicle Damage is also available from the Daily Rostering page through the action menus
Once here, you can select both check boxes to create an Associate Issue and a Counseling form.
Amazon Violation/Defect:
When creating an Amazon Violation/Defect, you will be prompted to create a Counseling form. The Issue created will automatically be attached to the created Counseling form. Hera will copy the information from the Defect and add it to the Counseling.
Creating Counselings Manually
STEP 1:
Using the create drop-down at the top of any page in Hera click on Counseling to begin creating a new record.
STEP 2:
Below is the Counseling form. Once you finish filling out the form, you can create it or send it immediately. Your Associate will receive an email and text message informing them they have a Counseling to sign. From there, they must click the link to sign the form. They can accept the Counseling and sign or refuse to sign.
STEP 3:
To easily access your Associates' Counselings, from the Performance and Coaching page, select Counselings on the top right menu.
STEP 4:
From this page, you may filter Counselings by Associate Status, Counseling Status, Counseling Type, Date of Occurrence, and when the Counseling was sent. This way, you can quickly address any Counseling statuses.
*Users can view an Associate's existing Counseling Forms when creating a new one
In the Counseling Form, the blue pill Icon Other Counselings will be displayed above the Associate Name field. It will display the number of Counseling Forms each associate has.
When you click this, a panel on the right side of the page will open where you can find all the other existing counseling forms. Click the Icon to open the Counseling form in a new tab.
