Daily Rostering: Let's take a look!
Use Hera's Daily Roster to roster each Associate for any given day, then let Hera broadcast the day's roster to your rostered Associates via SMS and email. These messages are sent once you click the send button, or you can send individual updates as needed.
Daily Roster replaces manually sending every Associate's route, staging info, vehicle, and device (Rabbit). You no longer have to work with an inefficient spreadsheet nor do you have to send individual text messages or screenshots to your Associates.
Hera can create a Counseling automatically for attendance violations too.
Hera Daily Rostering allows you to free up your dispatcher's time to interact with your Associates more meaningfully. We provide your Associates with the information they need at a single glance, via text message and email.
This is your Daily Roster home page. Displayed are your Standup Announcements and Dispatcher/Manager Notes. Below is your Daily Roster. Below that are Stand-by Associates.
π Manager Notes, Dispatcher Notes, and Stand-up Announcements
For each day's roster, Hera gives you an easy place to store notes about the day's work. This includes stand-up announcements that can be broadcasted to your rostered Associates as desired β for daily safety tips, for instance. Also, General Notes and Fleet Notes are a great tool to get high-level communication across to your managers and dispatchers. All done in one place, once per day. These are all located at the top of the screen on your Daily Roster page in the top dashboard. Click the Edit buttons to edit your notes or stand-up announcement.
Stand-up Announcement:
General and Fleet Notes can be edited directly on the page.

π Keeping a "paper trail" β without the paper (or Excel)!
Daily Roster is a huge time-saver day-to-day, but it also serves an incredibly important secondary purpose. With your roster safely saved daily, Hera can now recall for you, on-demand, who was using which vehicle, which device, and when. This of course, becomes particularly useful if a ticket arrives in the mail for a vehicle, or damage is found.
π And more...
Don't forget to add your Standby/Extra Drivers at the bottom, below the Daily Roster.
π Okay, so how do I use it?
We'll assume you have your Associates, vehicles, and devices set up and ready to go β here's how to import them if you haven't. It's worth mentioning that setting default vehicles, parking spaces, and devices for rostering (if applicable to your business) can really speed up this process: here's how.
There are two ways to roster Associates in Hera β by importing from Amazon or manually. Rostering manually can be useful for adding individual late entries.
Import from Custom Spreadsheet β recommended
Ask management for an Excel file of your DSP with all of your roster information (including route and staging) It will look something like this (but everyone's can be different) :
Make sure that the file has either the transporter ID or the name of each driver. Hera will not be able to match associates without one of these.
In Hera, on the Daily Roster page, click the main actin menu (circle with three dots) and select Import from Custom Spreadsheet.
Hera will show you what's about to be imported into your Daily Roster. Review the data brought from your custom spreadsheet, and click Import. If you have set defaults for them, vehicles, devices, and parking spaces will be populated automatically after import, so don't worry about setting them manually.
As you know, route and staging change daily. Because you may now add roster and staging information to your custom spreadsheet, route and staging will not have to be inputted manually anymore.
Fill in the fields as needed. If you have set defaults, vehicles, devices, and parking spaces will be populated automatically.
Send your roster!
Once your roster is complete, click the text message button and choose which waves to send:
Messages will be sent to the Associates using their chosen communication preferences β learn more about staff communication preferences.
Need to just roster a single Associate? We got you.
In the Daily Roster page, select Roster Single Associate.
Daily Roster Reports
Lastly, you have multiple Daily Roster reports on the Task and reports page.
Want to know how many times an associate has been rescued or was a rescuer? You can find that in your Daily Roster reports. You can also find reports on Attendance statistics, Associates on standby, and you're all-around daily report.
Like all data in Hera, all of these reports are download/export ready if you ever need them for business needs.
