This article explains when, where, and how to upload daily and weekly performance data into Hera.
Weekly: Scorecard, Photo on Delivery (POD), Customer Feedback (CX Feedback), and Proper Parking Sequence (PPS) (DO NOT alter/change file or file names in any way)
*Export Scorecard, POD, Customer Feedback, and PPS files from Amazon from your Supplementary Performance Reports section.
*The Customer Feedback file is no longer provided by Amazon after week 33. You can still import your old Customer Feedback files to Hera.
*The PPS report is typically published before the scorecard. Feel free to upload it on its own.
Daily: Mentor, Netradyne, and Engine Off Compliance (EOC) (DO NOT alter/change file or file names in any way)
*Export EOC compliance files from Amazon from your Supplementary Performance Reports Section
*Export Daily Mentor Files from the Mentor Driver Performance Page
*Export Daily Netradyne files using Netradyne’s Report Central - All Alerts Report
WEEKLY
STEP 1: At the very top right of the screen, click Import then Weekly Performance Data.
*You may simultaneously drag and drop or click to choose the 3 Scorecards.
STEP 2: After POD, Scorecard, and CX Feedback uploads, please confirm the year you are uploading. Then click Upload All.
*You may drag, drop, or click to choose your 3 files simultaneously.
STEP 3: Once all of your weekly files, Scorecard, POD (photo on delivery), and PPS have been uploaded successfully, click Continue.
*Please be sure to enter the year for the POD file if the year is not already in the file name.
STEP 4: Match Associates - Go through the list of Not Yet Matched and match them as you need. After matching, click Import at the bottom right.
*Once matched, Hera will remember, and you won't have to do it again.
STEP 5: Here you will see your Import Results. If there are no errors, click Finish on the bottom right. If there are errors, please ensure you did not edit the file in any way and that you entered the correct year.
Important Weekly Performance Reminder
Hera will only make coaching messages for the current week. The Amazon work week ends on Saturday. If you import your weekly Scorecards on Sunday or later, Hera will not make Coaching Messages. It is best practice to import those scorecards first thing on Wednesday morning. For steps on how to manage automated coaching, visit Automated Coaching.
DAILY
STEP 1: At the very top right of the screen, click "Import" then "Daily Performance Data."
STEP 2: After all 3 files have been selected, click "Upload All."
*You may drag, drop, or click to choose your files simultaneously.
STEP 3: Once all your daily files, Netradyne, Mentor, and EOC (Engine Off Compliance) have successfully uploaded, click "Continue."
STEP 4: Match Associates - Go through the list of "Not Yet Matched" and match them as you need. After matching, click "Import" at the bottom right. (more information on Unmatched Associates is at the bottom of this article).
*Once matched, Hera will remember, and you won't have to do it again.
STEP 5: Here you will see your Import Results. If there are no errors, click "Finish" on the bottom right. If there are errors, please ensure you did not edit the file in any way and that you entered the correct year.
IMPORTANT Daily Performance Reminders
Mentor: This daily report should be imported each morning. Hera is only designed to read and import the Daily Mentor Performance Report. You import this file by going to the top of the screen and clicking "Import" then "Daily Performance Data." Hera will only create coaching messages for the previous day. You can import older files to get the data into Hera, but Hera will only create coaching messages if the file is from yesterday.
Netradyne: This daily report should be imported as soon as you receive it via email. You can also manually request this report inside the Netradyne portal. After you click "request" in Netradyne, immediately click refresh on your browser and the report will be instantly available to download. You import this file by going to the top of the screen and clicking "Import" then "Daily Performance Data." If you have an "unknown associate," please uncheck the unknown associate before importing. That is not a Hera error. That error happens because Netradyne does not know who the driver is. Lastly, the Netradyne report comes out automatically via email late in the day, much later than when your automated messages are set to go out. Therefore, you will want Hera to send those coaching messages immediately, and Hera will ask you, "Would you like to send the coaching messages to all rostered DAs now," and then you'll click "Finish and Send." Hera will only create coaching messages for the previous day. You can import older files to get the data into Hera, but Hera will only create coaching messages if the file is from yesterday.
Engine Off Compliance: This daily report should be imported as soon as you receive it. It usually comes around 2pm EST. You will find this file in Cortex where you download your Scorecard. The file you need to download is dated today, but it has yesterday's data in the file. Lately, Amazon has been up to two days behind in publishing the EOC data. Hera will still create Coaching up to two days behind to compensate for delayed data. You import this file by going to the top of the screen and clicking "Import" then "Daily Performance Data." You can import older files to get the data into Hera, but Hera will only create Coaching Messages if the file is dated with today's date.
Unmatched Associates: In the image above, you will see a few examples of what happens when Hera cannot correctly match the Associates imported from the file. This can happen for a number of reasons like the Associate's name being misspelled inside of Netradyne or mentor. If so, click the pink box and begin typing the Associate's name. Once you select Hera will remember this alternative name and you will not need to match them again. It may also happen if you have not added that Associate to Hera since the import. You can easily add them from this page by clicking the pink box and selecting the dropdown option to "+ Add New Associate."
*For days that Amazon does NOT deliver (New Year, 4th of July, Thanksgiving, Christmas) you can upload the data from the previous day, but coaching messages WILL NOT be sent
Please do not edit the files in any way. Do not edit the file name or alter the contents. These files come in Excel, CSV, and PDF formats and should stay in their original format.
